Project management interview question bank
The questions we hear most in project and program management interviews across the US and Canada, grouped by theme, with notes on what a strong answer contains.
Tell me about a project that went wrong and what you did.
Own the diagnosis. Say what you changed and what you learned. Two minutes, no villains.
Walk me through a project you are proud of, from start to finish.
Situation, your role, the three decisions that mattered, the result in numbers if you have them.
Describe a time you had to deliver bad news to a sponsor.
Show you went early, with options, and with a recommendation. The sponsor should have left with a decision to make, not just a problem.
How did you recover a project that was behind schedule?
Assess, stabilize, re-plan, communicate. Say that order and mean it.
Tell me about a difficult stakeholder and how you handled them.
Name what they actually needed, how you found that out, and what changed in how you worked with them.
How do you keep a steering committee engaged?
Short papers, clear decisions requested, a what-changed line. Show you respect their time.
How do you handle a sponsor who keeps changing scope?
A visible change process, impact stated in time and money, and the decision pushed back to the sponsor every time.
How do you decide which parts of a project run predictively and which adaptively?
Uncertainty of requirements and cost of change. Give an example where you split one project both ways.
How do you report adaptive work to a traditional steering committee?
Outcomes and milestones for the board, iterations for the team, one honest picture for both.
What do you do when the team’s velocity does not support the date?
Show the data early, offer scope options, never hide behind the method.
How do you use AI in your project work?
Describe a process, not a tool list: what you use it for, how you brief it, how you check it, what you never automate.
What would you never let an AI assistant do on your project?
Decisions about people, money above a threshold, anything going to a regulator or a client unreviewed.
How would you introduce AI to a team that is sceptical?
One boring, measurable use case with a willing owner. Publish the before and after.
Tell me about a decision you got wrong.
A real one. What you would do differently and what you put in place so it does not recur.
How do you develop the project managers who report to you?
Coaching on live work, not just courses. Give an example of someone you moved up.
What is the first thing you would do in your first thirty days here?
Listen. Read. Meet the people who run the projects. Then a short assessment with three recommendations.
